How to add your email signature

First make your signature and press Copy signature. Then paste it into your email app's signature settings using the steps below. Menu names change from time to time; if one has moved, search your app's settings for "signature".

Gmail (web)

  1. Click the gear icon, then See all settings.
  2. On the General tab, scroll to Signature and click Create new.
  3. Name it, then paste your signature into the box.
  4. Under Signature defaults, choose it for new emails and for replies and forwards.
  5. Scroll to the bottom and click Save Changes.

The Gmail app on a phone only supports a plain-text mobile signature. Your web signature is used when you send from a computer.

Outlook on the web, and the new Outlook for Windows

  1. Click the gear icon (Settings).
  2. Go to Accounts, then Signatures.
  3. Click New signature, name it, and paste your signature.
  4. Choose it as the default for new messages and for replies and forwards, then click Save.

Classic Outlook for Windows (desktop)

  1. Go to File, then Options, then Mail, then Signatures…
  2. Click New, name it, and paste your signature into the editing box.
  3. Choose it as the default for new messages and for replies and forwards, then click OK.

Apple Mail (Mac)

  1. Open Mail, then Mail, then Settings (called Preferences on older macOS), then Signatures.
  2. Choose your account and click +.
  3. Untick Always match my default message font, then paste your signature.
  4. Choose it from the Choose Signature menu for that account.

iPhone and iPad Mail

  1. Open Settings, then Mail (on iOS 18 and later: Settings, then Apps, then Mail), then Signature.
  2. Paste your signature. iOS keeps basic formatting and links; images may not carry over.

If something looks wrong

ProblemFix
Logo doesn't showUse an image link that starts with https:// and opens in a private browser window. Recipients' email apps may also hide images until they choose to show them.
Formatting disappears when pastingCopy again with Copy signature (not Copy HTML), and paste with Ctrl+V or Cmd+V rather than "paste as plain text".
Signature appears twiceYour app may have both a default and a reply signature set. Set replies to the same signature or to "none".
Links turn blue or underlinedSome apps restyle links. It doesn't stop them working.
